Canada Day Marketplace Vendor Application 

Event Date: Wednesday, July 1, 2026, 2 p.m. - 10 p.m. 
Location: Southside Park, Woodstock, ON

For a listing of all City of Woodstock Special Events visit www.cityofwoodstock.ca/specialevents. In 2026, the City of Woodstock celebrates its 125th anniversary with larger events and increased attendance. As a vendor, anticipate more visitors eager to enjoy your offerings.

If paying by Cheque: Print and complete the application. Mail or deliver the application, cheque and certificate of insurance to: City Hall Woodstock (500 Dundas St., P.O. Box, 1539, Woodstock, ON N4S 0A7 | Attn: Special Events). Cheques made payable to the City of Woodstock.

Please note that a Certificate of Insurance is required (further details below).

Vendors are accepted at a first come first serve basis. There will be a limit to the number of vendors with the same type of product. All current vendors will be updated on www.cityofwoodstock.ca/canadaday / Marketplace. 

We are currently at capacity and cannot accept any more Henna vendors.

Electrical Requirements
$25 (HST included) / each 110v outlet. Lighting is provided in the evening. Vendor must provide their own extension cords (minimum 150'). Any hydro needed must be communicated PRIOR to set-up and must be confirmed in advance. Electrical is limited and is assigned on a first come, first serve basis.

Certificate of Insurance

A Certificate of Insurance showing a minimum of $2 million liability insurance is required. Policies can be purchased from: PAL InsuranceDUUOthrough your insurance provider or the City of Woodstock.

*Insurance purchased through the City of Woodstock cannot be provided to vendors who sell food/drink, lotion/perfume items or provide personal services such as henna. 

Certificate of Insurance must include: Business Name, Business Address, Expiry Date, $2 million liability
Added Insured: City of Woodstock, 500 Dundas St, Woodstock, ON N4S 0A7

If you are not submitting a Certificate of Insurance with this application, please email it to events@cityofwoodstock.ca. If proof of insurance is not received by Sunday June 7, 202 by 11:59 p.m., your business will not be allowed to participate, and the vendor fee will not be refunded.

Terms and Conditions

  • Vendors will not be approved without a completed application and full payment.
  • Staff has the right to refuse a vendor if deemed inappropriate or unsafe.
  • Vendors have no exclusivity.
  • Requests for specific booth locations will not be honored and cannot be changed prior to the event or the day of it.
  • Information on booth locations, parking & set-up instructions will be sent one week prior to the email address provided on the application.
  • You are responsible to take your belongings to your vehicle if you leave before the end of the event. You will not be allowed to drive into the park for loading and unloading purposes only during the appointed times. Vehicles and trailers must be removed ASAP, to nearby designated parking. No unauthorized vehicle or trailer will be allowed to remain onsite under any circumstances.

On-site checklist, please ensure you have the following:

  • If you slected electricity, a minimum 150’, 12 gauge extension cord is required.
  • The City of Woodstock DOES NOT supply vendors with canopies, tents, cords, lighting, tables or chairs.
  • Appropriate storage for your food items. Hot foods must be kept hot and cold foods must be kept cold.
  • You are not permitted to leave the park before the end of the event for the safety of event attendees.
  • Your area is your responsibility, please take care of it.
